Chamberly ("Chamberly," "we," "us," or "our") makes software that chambers of commerce use to run their membership, events, billing and communications. This policy explains what personal information we collect, why, who we share it with, where it is stored, how long we keep it, and the choices you have. It covers this website (chamberly.io), the Chamberly dashboard (app.chamberly.io) and each chamber's Chamberly platform.
Two kinds of data
Data about our customers and visitors. When you visit this website, ask for a demo, or sign your chamber up, we decide what is collected and why. This policy governs that data directly.
Data a chamber keeps in Chamberly. A chamber uses Chamberly to keep records about its members, their contacts, applicants, event attendees, sponsors and the people it emails. That chamber decides what it collects and how it uses it; we store and process those records on its behalf and only to provide the service, as its service provider. If you are a member of a chamber, or registered for one of its events, the chamber's own privacy notice applies to you, and questions or requests about your record should go to the chamber first. We will help the chamber answer them.
Information we collect
From this website:
- Demo requests sent through our contact form: your name, email address, organization and message
- Emails you send us, and anything you choose to include in them
- Standard server logs our hosting keeps to run and protect the site: IP address, browser, the page requested and the time
From chambers that use Chamberly:
- Account details for the people who manage the subscription: name, email address, organization and role
- Billing details for the subscription. Card payments are handled by Stripe; we never see or store full card numbers
- The records the chamber keeps in its platform, as described above: for example member businesses, contact names, email addresses, phone numbers, addresses, membership plans, invoices and payments, event registrations, applications and directory listings
- Sign-in and activity records for staff and members who use the platform: when they signed in, from which IP address and browser, and an activity log of changes made (who changed what, and when)
How we use it
- To reply to demo requests and questions, and to set up and support a chamber's account
- To provide the service: host each chamber's platform, send the emails it asks us to send, and keep it running
- To bill for the subscription and send receipts and account notices
- To keep the service secure: prevent abuse, investigate problems and keep an activity log
- To meet legal obligations, such as tax records
We do not use a chamber's records for our own marketing, we do not build advertising profiles, and we do not use them to train artificial intelligence models.
Email sent by your chamber
Chambers send newsletters, renewal reminders, receipts and event emails through Chamberly. To show the chamber whether its emails arrive, the platform records delivery, bounces, spam complaints, and when a message is opened or a link in it is clicked. Every marketing email includes a link to unsubscribe, and Chamberly stops sending that chamber's marketing email to an address once it unsubscribes.
Cookies and tracking
This website uses Ninelytics to count visits: which pages are viewed, where visitors came from, and the type of browser and device. To tell a returning visitor from a new one, it keeps a random identifier in a first-party cookie and in your browser's storage for up to a year; the identifier is not your name or email, and we do not combine it with anything that identifies you. We run no advertising trackers, and we do not use analytics data for advertising. You can block or delete the cookie in your browser settings without losing anything on the site. The Chamberly platform and dashboard use only the cookies they need to work: one that keeps you signed in, and one that remembers whether you collapsed the side menu.
Who we share it with
We do not sell personal information, and we do not share it for cross-context behavioral advertising. We share it only with the providers that help us run the service, each limited to what it needs:
- Our hosting provider, which runs the servers in the United States where Chamberly and its databases live
- Cloudflare, which stores files chambers upload, such as logos and documents
- Ninelytics, which counts visits to this website (not the Chamberly platform)
- Stripe, which processes payments: for the Chamberly subscription, and for the dues and tickets a chamber's members pay through the chamber's own Stripe account
We may also disclose information when the law requires it, to protect people's safety or our rights, or as part of a merger or sale of the business, in which case this policy would continue to apply to it.
Where data is stored
Chamberly is run from servers in the United States. If you use Chamberly from another country, your information is transferred to and stored in the United States. Each chamber's platform has its own database, which holds only that chamber's data.
How long we keep it
- Demo requests: as long as we are talking with you, and no more than 24 months after we last hear from you, unless your chamber becomes a customer
- A chamber's records: for as long as its subscription is active. After it ends, the chamber can export its data, and we delete its platform and database within 90 days. We back up every database daily and keep each backup for 3 days, so the last copies are gone 3 days after that
- The activity log: changes to money and permissions are kept for 7 years, changes to personal records for 2 years, and everything else for 1 year, because disputes and audits reach back that far
- Billing records for the subscription: as long as tax and accounting law requires
Your rights
Depending on where you live, including under the privacy laws of several U.S. states and Canada, you may have the right to:
- Know what personal information we hold about you and get a copy of it
- Have inaccurate information corrected
- Have your information deleted
- Opt out of the sale or sharing of your information, which we do not do
- Appeal a decision we make about your request
For information we hold for our own purposes, email [email protected]. We will confirm we received it, may ask for details to verify your identity, and will answer within 45 days. You may use an authorized agent, and we will not treat you differently for exercising these rights. For a record a chamber keeps about you, contact that chamber; if you write to us instead, we will pass your request to them.
Children
Chamberly is a business service and is not directed at children. We do not knowingly collect personal information from anyone under 16. If you believe a child's information has reached us, write to [email protected] and we will delete it.
Changes to this policy
When we change this policy we update the date at the top. If a change is material, we tell customers by email or in the dashboard before it takes effect.
