How to Automate Membership Renewals (And Stop Chasing Checks)

A step-by-step guide to setting up automated membership renewals so your team can focus on member engagement instead of payment follow-ups.

By Chamberly Team

Every chamber staff member knows the drill. Renewal season arrives and suddenly half your week is consumed by mailing invoices, sending reminder emails, making follow-up calls, and manually updating spreadsheets when payments finally come in. It does not have to work this way.

Automating membership renewals is one of the highest-impact changes a chamber can make. Here is how to do it, step by step.

Step 1: Move to Online Payments

If you are still accepting checks as your primary payment method, that is the first thing to change. Set up online payment processing through your membership platform or a service like Stripe. Most members prefer paying online. It is faster for them and faster for you.

This does not mean you stop accepting checks entirely. It means online becomes the default, and checks become the exception.

Step 2: Set Up Automated Reminder Sequences

A good renewal workflow sends a series of reminders before and after the renewal date. Here is a proven sequence:

  • 60 days before: Friendly heads-up that renewal is approaching. Include a direct link to pay online.
  • 30 days before: Second reminder with a summary of membership benefits they have used.
  • 7 days before: Urgent reminder. Emphasize that their directory listing and member benefits will lapse.
  • Day of expiration: Final notice. Clear call to action.
  • 7 days after: Grace period reminder. Let them know their membership has lapsed but they can still renew.
  • 30 days after: Last attempt. Consider a personal phone call for high-value members.

Each email should be pre-written and triggered automatically based on the member’s renewal date.

Step 3: Enable Auto-Renewal

Give members the option to store a payment method and auto-renew annually. This is the gold standard. Members who opt into auto-renewal have dramatically higher retention rates because the renewal happens without any friction.

Make it easy to opt in during the initial sign-up and at every renewal touchpoint.

Step 4: Segment Your Follow-Up

Not every member deserves the same level of follow-up effort. Segment your members by tier or value:

  • Top-tier members: Personal phone call from the executive director if they have not renewed by the due date.
  • Mid-tier members: Automated emails plus a staff follow-up call after the grace period.
  • Basic members: Automated emails only, with a clear and easy renewal link.

This ensures your team spends their limited time on the relationships that matter most.

Step 5: Track and Improve

Once your automated system is running, measure the results. Key metrics to watch:

  • Renewal rate by tier
  • Average days to renew (from first reminder to payment)
  • Auto-renewal opt-in rate
  • Revenue collected online vs. by check

Review these numbers quarterly and adjust your email copy, timing, and follow-up strategy based on what you learn.

The Payoff

Chambers that automate renewals typically see two things happen. First, renewal rates go up because members get consistent, timely reminders with a frictionless way to pay. Second, staff time spent on renewals drops dramatically, freeing up hours every week for member engagement, events, and community building.

The technology to do this is not complicated or expensive. The hardest part is making the decision to stop doing it the old way.
